We are Special Sups, and we take your privacy very seriously. We only collect the information necessary to improve our services and handle all information we have collected about you and your use of our services with care. We never share your data with third parties for commercial purposes.
This privacy policy applies to our website and the services we offer there. It has been in effect since February 8, 2023, and any new version replaces the previous ones. This privacy policy describes what data we collect about you, how we use it, and with whom and under what circumstances this data may be shared. In addition, we explain how we store your data, protect it from misuse, and what rights you have regarding the information you provide to us.

Webshop Software
Our website is developed using WordPress.
The personal data that you provide to support our services is shared with this platform. WordPress has access to your data to support us but will never use it for any other purpose. WordPress is required to take appropriate security measures based on the agreement we have with them.
This means we use SSL encryption and a strong password policy. WordPress does not collect personal data. However, WordPress reserves the right to share collected data within its own company to improve its services.
Email and Mailing Lists
Mailchimp
We send our newsletters via Mailchimp. They will never use your data for their own purposes.
At the bottom of each automated email, you will find an “unsubscribe” link, allowing you to easily opt out.
Mailchimp protects your personal information and uses cookies and other internet technologies to determine whether your emails are opened and read. They reserve the right to use your data to improve their services and to share information with third parties.
Office365
We use Office365 for our daily business email communications. Office365 has taken technical and organizational measures to prevent misuse, loss, and corruption of your and our information as much as possible. They do not have access to our mailbox, and we treat all emails confidentially.
Payment
Payment must be made via direct bank transfer. Instructions are provided in the confirmation email when you complete your order.
Shipping and Logistics
With PostNL
When you place an order with us, it is our responsibility to deliver your package quickly and reliably.
To do so, we use the services of PostNL.
We share your name, address, and location information with PostNL. They use this information solely for the purpose of delivery.
In some cases, PostNL may use subcontractors — in such cases, your data may also be shared with those parties.
Purpose of Data Processing
General Purpose
We only process your data to carry out our services.
We do not share your data with third parties, except when necessary to meet administrative obligations.
Third parties who have access to your data are required to keep it confidential under a legal or contractual obligation.
Automatically Collected Data
Data automatically collected by our website (such as your IP address, browser, and operating system) is used to improve our services. This data is not personal.
Cooperation in Tax or Criminal Investigations
In some cases, Special Sups may be legally required to share your information with government authorities for tax or criminal investigations.
In such cases, we are obligated to share your information but will resist such requests as far as the law allows.
Retention Periods
We store your information for as long as you are a customer with us.
This means we keep your customer profile until you indicate that you no longer wish to use our services.
If you inform us of this, we will treat it as a request to be forgotten.
Due to mandatory administrative obligations, we must retain invoices containing your personal data for the legally required period. However, our staff will no longer have access to your customer profile or related documents after this period.
Your Rights
Under current Dutch and European legislation, you have certain rights regarding the processing of your personal data by or on behalf of us.
Below, we describe what these rights are and how you can exercise them.
As a safeguard against misuse, we will only send copies of your data to the known email address associated with you.
If you wish to receive this information at a different email address or by post, we will ask you to verify your identity.
We maintain a record of handled requests, and in the case of a request to be forgotten, we store anonymized data.
All copies and information are provided in a machine-readable format compatible with our systems.
You always have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you suspect we are misusing your data.

You can send such a request to our privacy representative.
You will receive a response within 30 days.
If your request is granted, we will send you a copy of all data along with a list of processors who have access to it and a description of the data categories.

If the data we process about you is inaccurate or incomplete, you have the right to have it corrected.
You can submit such a request to our privacy contact person.
You will receive a response within 30 days, and if approved, we will confirm via your known email address that the data has been updated.
Right to Restrict Processing
If you believe your data is being processed incorrectly or unnecessarily, you can request a restriction of processing.
Upon approval, we will confirm via your known email address that your data will no longer be processed until you lift the restriction.
Right to Data Portability
You have the right to have your data transferred to another party.

Within 30 days, you will receive a copy of all the data we process about you, or that has been processed by third parties on our behalf.
Please note that this may make it impossible for us to continue providing certain services due to system incompatibility.

If you object, we will immediately stop processing your data until your objection is reviewed.
If your objection is valid, we will send you copies of the relevant data and take steps to prevent similar issues in the future.

We use cookies from Google as part of their Analytics service.
We use this service to track how visitors use our website and to generate reports.

We have not given Google permission to use this analytics data for other Google services.
